License Management System
Introduction
EQUA’s License Management System (LMS) manages licenses for EQUA software products.
LMS provides a common system for user authentication and license management. Users sign in to supported EQUA applications using their email address and password, while License Administrators manage users and their access to licenses through the web-based LMS.
LMS is currently used by several EQUA applications and may be used by additional EQUA products in the future.
This guide explains how to:
- Activate your LMS account and sign in.
- Access licenses assigned to you.
- Select and use licenses.
- Use a license on different computers.
- Manage users and license assignments as a License Administrator.
- Solve common sign-in and licensing problems.
The web-based LMS is available at http://lms.equa.se
Note
The exact appearance and available licensing functions may differ between EQUA applications. Where a procedure is specific to a particular application, this is stated explicitly.

For Users
First-time sign-in
The first time you sign in, you need to activate your account and verify your email address.
- Install and open the EQUA application.
- Enter the email address associated with your LMS account in the Sign in dialog.
- You should have at least one assigned license before opening the software, this can be verified in your LMS account at http://lms.equa.se.
- Enter a new password.
- Enter your first and last name when requested. This information is stored in your account profile.
- If you have previously used an EQUA application with this account, you may not be asked to provide your name.
- A verification email is sent to your email address. Open the email and follow the instructions to verify your address.
- When the message Your email address has been verified appears, return to the application.
- Close the current Email verification window.
- Sign in using your email address and password. The License Checkout dialog appears and displays the licenses available to you.
Didn't receive the verification email?
Check your spam or junk folder.
Some organizations may remove the formatting from the verification email, causing it to appear as plain text. If this happens, copy the verification link from the email and open it in your web browser.
Starting an application and selecting a license
After your account has been activated:
- Start the application.
- If prompted, sign in using the email address and password associated with your LMS account.
- The License Checkout dialog displays the licenses available to you.
- Select the license you want to use.
View your licenses and account information
You can use the LMS web interface to see which licenses you have access to and manage your personal account information.
- Go to https://lms.equa.se
- Sign in using the same email address and password that you use for EQUA applications.
- Switch to Regular user view if necessary.
- Review your available licenses and personal information.
Your company’s License Administrator controls which company licenses you have access to.
Using a Single-User license on multiple computers
A Single-User license is assigned to one specific user.
The assigned user can use the licensed application on different computers, but the license can only be used on one computer at a time.
Before switching computers, return the license from the computer where it is currently checked out.
- On the first computer, use the application’s function for signing out and returning licenses.
- Start the application on the other computer.
- Sign in using the same LMS account.
- Select the required license.
Example
In IDA ICE, select Help → License → Sign out and return all licenses.... The application closes and returns the checked-out licenses.

Important
If a license has been kept checked out for offline use, make sure it is returned before attempting to use the license on another computer.

[IMAGE: Example of returning licenses from an EQUA application]
Using a license offline temporarily
Licenses can temporarily be kept checked out for offline use.
For applications that support offline checkout, select the option to keep the license checked out when exiting the application. The current LMS documentation specifies an offline period of up to 12 hours for both Network and Single-User licenses.
Important for Network licenses
A Network license that is kept checked out remains unavailable to other users for the duration of the checkout.

Single Sign-On (SSO)
EQUA’s LMS uses Single Sign-On (SSO), allowing you to use the same EQUA account to sign in to supported EQUA applications and services.
Sign-in is handled through EQUA’s authentication service using the email address registered for your LMS account.
Note
LMS does not currently support integration with your organization’s own identity provider. For example, LMS cannot currently be connected to your organization’s Microsoft Entra ID environment.
This means that SSO refers to single sign-on across supported EQUA applications and services, not automatic sign-in using your organization’s Microsoft or other corporate account.
Reset your password
If you have forgotten your password:
- Open an EQUA application that uses LMS or go to https://lms.equa.se
- Select Forgot password in the Sign in dialog.
- Follow the instructions sent to your email address.
For License Administrators
License Administrators manage the users belonging to their company and determine which users have access to the company’s licenses.
A License Administrator can:
- Add and remove users from the company.
- Assign and remove users from licenses.
- Add and remove other License Administrators.
A user can be a License Administrator for more than one company or organization in LMS. If you administer multiple companies, you can select the relevant company in LMS and manage its users and licenses separately.
First-time sign-in for License Administrators
The first time you use LMS, you need to activate your account and verify your email address.
- Go to https://lms.equa.se
- Enter the email address registered for you as License Administrator.
- Enter a new password.
- Enter your first and last name when requested.
- If you have previously used an EQUA application with this account, you may not be asked to provide your name.
- A verification email is sent to your email address. Open the email and follow the instructions to verify your address.
- When Your email address has been verified appears, return to http://lms.equa.se and refresh the page.
- LMS displays the company or companies for which you are a License Administrator. If you administer more than one company, select the company you want to manage.
Didn't receive the verification email?
Check your spam or junk folder. If your organization’s email system has removed the formatting from the message, copy the verification link from the plain-text email and open it in your browser.
Switch between License Admin and Regular user views
If you are a License Administrator, LMS provides two views:
- License Admin – manage users and licenses for your company.
- Regular user – view your own license access and account information.
Use the selector in the upper-right corner to switch between the two views.
By default, License Administrators are shown the License Admin view.

Review your users and licenses
License Administrators should regularly review the users and license assignments for their company.
- Sign in to https://lms.equa.se
- Open Users and review the users registered for your company.
- Remove users who should no longer have access.
- Add users who are missing.
- Open Licenses and review the licenses available to your company.
- Check that users are assigned to the appropriate licenses.
- For each Single-User license, make sure that the intended user is assigned.
- Review who has the License Administrator role and make any necessary changes.
Important
Adding a user to the company does not automatically give the user access to a license. The user must also be assigned to the appropriate license.
Add users to your company
Before a user can be assigned to a license, the user must belong to your company in LMS.
Add one user
- Sign in to https://lms.equa.se
- Make sure you are in License Admin view.
- Open Users.
- Select Add User.
- Enter the user’s email address.
Only the email address is required.
Add multiple users
You can also import multiple users from a CSV file.
Create a CSV file containing one column with the header:
Enter one email address per row below the header.
Drag and drop the CSV file into LMS to add the users.

[IMAGE: Users page showing Add User]
Assign users to licenses
Adding a user to your company does not automatically give the user access to a license. The user must also be assigned to the appropriate license.
Single-User licenses
A Single-User license is assigned to one specific user.
The assigned user can use the license on different computers, but only on one computer at a time.
The License Administrator determines which user is assigned to the license.
Temporary reassignment allowance
During the current LMS transition period, the assigned user of a Single-User license can be changed up to three times.
This temporary allowance makes it possible to correct assignments and reorganize licenses during the transition. The normal reassignment limitation will apply afterwards.
Network licenses
A Network license can be made available to multiple users within the company.
The number of users who can use the license simultaneously is determined by the number of available seats.
Option 1 – Assign users
- In the main menu, select Licenses.
- Select the license you want to manage.
- The license overview shows the number of seats available for the license.
- Open Users.
- Add the user or users who should have access to the license.
For licenses that should be available to all users in the company, you can use + Add All.
You can also remove users who should no longer have access to the license.
Important
Do not use + Add All for a Single-User license. Assign only the intended user. You will be able to change the Single-User license holder once per year by yourselves (to handle personnel rotation etcetera) and we can assist with further needed changes for a fee.

[IMAGE: License Users view showing user assignment and + Add All]
Option 2 – From the user
Use this method when you want to review or manage the licenses assigned to a specific user.
- In the main menu, select Users.
- Select the user you want to manage.
- Open the user's license information to see the licenses currently assigned to the user.
- Assign additional licenses as required.
- Unassign licenses that the user should no longer have access to.
This method is particularly useful when onboarding a new user, changing a user's responsibilities, or removing access when a user leaves the company.
Add or remove License Administrators
License Administrators can add or remove other License Administrators for their company.
- Open Users.
- The current License Administrators are shown at the top of the page.
- To remove a License Administrator, select the remove icon next to the person’s name.
- To add a License Administrator, select the + button for the appropriate user.
Recommendation
Where practical, assign at least two License Administrators to your company. This ensures that someone can manage licenses if another administrator is unavailable or leaves the organization.

The Company, User and License Administrator concepts follow the terminology used in LMS.
Troubleshooting
I can sign in, but I don't see the license I need
Your account may not have been assigned to the license.
Contact your company’s License Administrator and ask them to check:
- That your email address is registered as a user for the correct company.
- That you have been assigned to the appropriate license.
##
My Single-User license is still in use on another computer
A Single-User license can be used on different computers, but only on one computer at a time.
If the license is still checked out on the first computer:
- Open the application on the first computer.
- Use the application’s function for signing out and returning licenses.
- Start the application on the second computer.
- Sign in using the same LMS account.
- Select your Single-User license.
Example
In IDA ICE, select Help → License → Sign out and return all licenses.... This returns the license and closes the application.
##
I signed in with the wrong account
If you signed in with the wrong account:
- Use the application’s function for signing out and returning licenses.
- Restart the application.
- Sign in using the correct LMS account.
Example
In IDA ICE, select Help → License → Sign out and return all licenses.... The application removes temporarily stored licensing information, returns the licenses and closes. The next time you start the application, you are prompted to sign in again.
If you have accidentally signed in on an account without any licenses and need to reset the user data, or need to clear the cached license data for other reasons this can be done manually by:
1. Navigate to: C:\Users\%username%\AppData\Local\EQUA\LMS
2. Delete all files that are inside the LMS folder.
3. Restart IDA ICE. Log in with the correct user who has an assigned license.
##
I forgot my password
Select Forgot password in the sign-in dialog in your EQUA application or at http://lms.equa.se, and follow the instructions.
##
I did not receive the verification email
Check your spam or junk folder.
- Check that you are using the email address registered in LMS.
- If the email appears as plain text, look for the verification link and copy it into your web browser.
If you still cannot verify your account, contact EQUA Support.
##
Can I use my company’s Microsoft Entra ID account to sign in?
Not currently.
LMS uses EQUA’s authentication service and cannot currently be connected to your organization’s Microsoft Entra ID environment or another corporate identity provider.
Use the email address and password associated with your EQUA LMS account to sign in.
##
Application-specific settings and information
Most LMS functionality is common to EQUA applications. Some settings, menu commands and transition requirements are specific to an individual application.
IDA ICE – transition to LMS
IDA ICE 5.2 uses EQUA’s License Management System.
Existing HASP-based IDA ICE 5.0.x and 5.1.x installations will stop working after 31 October 2026.
From 1 November 2026, use either:
- IDA ICE 5.2, or
- IDA ICE 5.1.1.2 if you need to continue working with IDA ICE 5.1.
IDA ICE 5.1.1.2
IDA ICE 5.1.1.2 provides LMS compatibility for users who need to continue using the IDA ICE 5.1 generation.
IDA ICE 5.1.1.2:
- Uses the new LMS licensing system.
- Has the same functionality as IDA ICE 5.1.1.1.
- Contains no additional functional changes or fixes compared with IDA ICE 5.1.1.1.
You may have both IDA ICE 5.2 and IDA ICE 5.1.1.2 installed if required for your projects.
Important
HASP-based IDA ICE 5.0.x and 5.1.x versions will no longer work after 31 October 2026. Install an LMS-compatible version before this date.
IDA ICE 4.8 and earlier
Licensing for IDA ICE 4.8 and earlier versions is not affected by the current LMS transition.
These versions continue to use their existing licensing solution for the time being.
IDA ICE – automatically select the last-used license
IDA ICE users who normally use the same license can disable the License Checkout dialog.
- Open Options → Preferences.
- Select Do not show license checkout-dialog.
The last-used license will then be used automatically when the application starts.
